1. What this policy covers
This policy explains how the Moose Jaw & District Food Bank ("we", "our", "us") collects, uses and protects your personal information when you use this website (mjfoodbank.org), our booking app (app.mjfoodbank.org) and the Moose Jaw Food Bank app. It covers everyone we work with: clients, donors, volunteers, partner agencies and staff. We follow the ten fair information principles of Canada's federal privacy law (PIPEDA).
2. Consent
When you register with the food bank, you agree that we may collect and use your information to provide food bank services. When you send us a message, sign up for our newsletter or email yourself a list from this website, you agree that we may use what you give us for that purpose only.
3. Information we collect on this website
You can read this website without telling us who you are. We only collect:
- Messages you send us: your name, email address, the topic and your message, so we can reply.
- Newsletter sign-up: your email address, so we can send you news a few times a year. You can unsubscribe at any time.
- Community resources: the kinds of help you choose, to find listings. If you email yourself the list, we use your email address only to send it.
- Technical information: like most websites, our servers record your IP address, browser and the pages you ask for, to keep the site secure and working and to limit misuse.
When configured, optional Google Analytics loads only after you choose Allow analytics. Google receives page views, browser and device information and uses analytics cookies. We do not send names, form entries, account details, search parameters or password tokens. Advertising features are disabled. You can decline or withdraw through Analytics preferences at the bottom of each page. Your browser remembers that choice separately for the website and booking app. Light or dark mode is also remembered on your device.
4. Language choice, Google Translate and Google Maps
The language picker uses Google's website translator. It only loads after you choose a language other than English. Your browser then sends the page text to Google to be translated, and Google sets a cookie (googtrans) that remembers your choice. Google's own privacy policy applies to that service.
The map on the home and contact pages is from Google Maps. When it loads, your browser contacts Google, which may set its own cookies. Google's privacy policy applies to the map. Google Analytics also contacts Google if configured and you allow analytics.
5. Information we collect in the booking app
Through the booking app, we collect and store:
- First and last name of the main account holder
- Email address
- Phone number (optional)
- Sign-in troubleshooting records, such as the email address or client ID entered, the account type, app and operating system versions, device type, network state and the reason a sign-in failed
- Visit history, used to check eligibility, since each household can visit twice a month
The documents you show to register or for an eligibility review are used only to confirm you are eligible. The booking app does not ask for health or immigration details.
6. How we use your information
We use your information only to:
- Let you create and manage bookings, and check your eligibility
- Answer your messages and send the newsletter you asked for
- Send important information, such as booking confirmations and service updates
- Improve our services and report on them, without naming anyone
- Keep our website and apps secure, and help staff fix sign-in problems
We do not sell, rent or trade your information.
7. Donations and monthly gifts
When you give, we use your information only to:
- Process your gift and send your tax receipt
- Thank you, and tell you about our work if you want to hear from us
- Meet our legal and reporting duties as a registered charity
We never sell, rent or share our donor or mailing lists. You can give anonymously: tell us and we will not name you. We do not ask anyone under 18 for donations.
Card payments go through our payment processor and your bank, which receive only what they need to complete the payment and follow their own privacy policies. Online gifts are encrypted in transit.
Monthly gifts: to stop or change a monthly gift, give us 30 days' notice in writing by email to endhunger@mjfoodbank.org or by mail to 270 Fairford St W, Moose Jaw, SK S6H 1V6. If a payment is taken in error, you have the right to be paid back. Your bank, or Payments Canada, can tell you more about your rights.
8. Services that help us, and other websites
We use a few trusted services to run our website and apps, such as hosting and email delivery. They handle your information only on our behalf and only to provide that service. Otherwise, your information is not shared outside the food bank unless the law requires it.
Some links take you to other websites with their own privacy policies, such as our online giving pages, the app stores, Facebook, Instagram and 211 Saskatchewan. Please read their policies when you use them.
9. Storage and security
Your information is stored securely. Only authorized staff and volunteers who need it to serve you can see it. We use reasonable technical, organizational and administrative safeguards to protect it from loss, theft and unauthorized access or disclosure.
10. How long we keep it
We keep your information only as long as we need it to provide food bank services and to meet legal or reporting obligations. Messages and newsletter addresses are deleted when they are no longer needed or when you ask us to.
11. Your rights
You have the right to:
- See the information we hold about you
- Ask us to correct information that is wrong or incomplete
- Withdraw your consent to optional contact, such as email or phone
- Unsubscribe from the newsletter at any time
Send your request to our Privacy Officer, below.
